The thirty-fifth Feature of the Day covered is Print Remaining Documents. Users will now have the ability to email and print batches or statements in one step rather than having to handle those that will be emailed or printed separately.

In the PM, RM, SOP and POP Batch windows the UI will not change; the user will simply mark both options to Print and Send Documents in E-mail.

The Print Receivables Statements form will see the introduction of a new option for use hen emailing statements:

The thirty-fourth Feature of the Day covered is Purchase Order Prepayment Additions. In Microsoft Dynamics GP2013 R2 the Purchase Order Prepayments functionality has been extended:

  1. Enter a prepayment for a project accounting purchase order
  2. Include analytical accounting transaction dimension codes
  3. View PO number on Payables Payments Zoom
  4. Prepayments paid and applied will be included in the PO document amount on the Cash Flow Calendar

As mentioned above, the Project Accounting version of Purchase Order Entry has been updated to allow Prepayments to be entered:

MDGP 2013 R2 Feature of the Day: OLE Notes Migration Utility

The thirty-third Feature of the Day covered is OLE Notes Migration Utility. The ability to attach documents to record level notes has been available in Microsoft Dynamics GP for a long time. The record notes were always stored as OLE attachments until now; in Microsoft Dynamics GP, the OLE Notes have been replaced with the Document Attachment functionality which stores the notes directly in the Microsoft SQL Server Database.

To facilitate this, a Migration Utility, which runs as a separate application, can be obtained from PartnerSource/CustomerSource. The utility will allow existing users to migrate the files that have already been attached to Notes using the existing OLE functionality into the new Document Attach functionality:

I’ve never liked the OLE Attachment available in record level notes; if one client had a different path defined in the ini file and the user opened and saved a window the attachments then they would get corrupted. Using Document Attachment functionality removes this risk of data corruption and provides functionality which is much more robust.

The thirty-first Feature of the Day covered is Replace OLE Notes‏ With Document Attachment‏. Dynamics GP has long supported the ability to record notes against records and also to attach OLE objects to the notes. However, the OLE notes were stored on a network share with only the link being stored in Dynamics GP.

This feature adds the ability to attach documents to the record level notes in Microsoft Dynamics GP 2013 R2 using the Document Attachment functionality which means the notes are stored directly in the Microsoft SQL Server database.

As Document Attachments are stored in the SQL Server database the data is backed up along with the rest of the Microsoft Dynamics GP data which reduces backup issues and will also simplify client installs as the OLE Path in the Dex.ini file no longer needs to be changed. Files that are attached to the notes using Document Attach will also be accessible from the Web Client.

As an example, notes can be added to the Creditor Maintenance window (Purchasing » Cards » Creditor) by clicking the Notes icon (blank white page) next to the Creditor ID field:

MDGP 2013 R2 Feature of the Day: Assign An Item To Multiple Sites

The thirtieth Feature of the Day covered is Assign An Item To Multiple Sites. This feature will allow the user to select an item and assign it to one, multiple or all sites quickly and easily. The user can also select key item/site default settings for Item Print Option, Primary Vendor and Landed Cost Group during the assignment process.

When I started looking at this feature, it took me a few minutes to actually find it. To assign items to multiple sites open Item Quantities Maintenance (Inventory » Cards » Quantities/Sites) and click the Go To’s button on the ribbon and select Site Item Assignments:

MDGP 2013 R2 Feature of the Day: Roll Down Segment Changes

The twenty-ninth Feature of the Day covered is Roll Down Segment Changes. This feature means that if the Account Segment description is changed then the change can be rolled down to accounts containing the segment.

A warning message will be displayed to prompt the user to confirm the change should be rolled down or not:

Microsoft Dynamics GP: Do you want to roll down account segment description to account that contain this segment?

This is my least favourite feature so far; the Account Description length generally isn’t long enough so users tend to do their own descriptions rather than accepting the defaults. I can see people accidentally clicking yes on the warning prompt without meaning to do so. I’ll see how things go, but a switch to disable this function might be nice.

The twenty-eighth Feature of the Day covered is Document Attachment On Payables Transactions. The same Document Attachment functionality that was added to Sales and Purchasing in prior Microsoft Dynamics GP 2013 releases has now been added to Payables Transactions.

Documents can be placed directly on the Payables Transaction or they can be set to flow from the selected Vendor; these documents can be viewed from the entry window or inquiry window.

To add a document attachment open the Payables Transaction Entry window (Purchasing » Transactions » Transaction Entry ) and click the Attach button on the ribbon:

MDGP 2013 R2 Feature of the Day: Reverse Year End Close

The twenty-sixth Feature of the Day covered is Reverse Year End Close. This feature adds the ability to reverse the GL Year End Close Process in order to open the previous fiscal year.

Before the reversal is performed then users are warned to create a backup and also verifies that all users are logged out of GP prior to starting.

The Reverse Historical Year button will be disabled if the end-user is not maintaining history in the GL Setup form.

The reverse is done by opening the Year-End Closing window (Financial » Routines » Year-End Closing) and clicking the Reverse Historical Year button.

The most recently closed year can then be reopened:

The twenty-fifth Feature of the Day covered is Email or Print any Report in Word format; again I have a PowerPoint for this feature, but there is no page on the Inside Microsoft Dynamics GP blog. This feature means users will be able to send any report via email using a Word Template.

The Email Options form now has an option for .docx available :

Email Any Report

This feature works differently in the Web Client as opposed the Desktop one.

The Web Client will automatically create a template for the report when it is printed and the template option selected. If the report is being emailed then email addresses can be specified for docx.

However, in the Desktop client a template needs to be created prior to sending via email; the template creation can be facilitated by using the Word Template Generator tool.

The twenty-third Feature of the Day covered is Encumbrance SQL Reporting Services Reports. New SQL Reporting Services Reports have been created for Encumbrance Management; new Encumbrance Summary and Detail reports have been added to the existing list of SRS Reports. As with other SSRS reports these ones can be run from the Reporting Services Reports navigation list, directly from the deployment location or attached to and printed from a window in Microsoft Dynamics GP.
