With the bins now created for the location (either manually or in bulk), the bin contents can now be configured. This does not mean adding items to the system, but setting the system up to know which items will be placed in which bins.

The first step is to create a bin creation worksheet name; do this by searching for Bin Creation Worksheet Templates:

In an earlier article, I covered creating bins for a location manually, but Business Central does contain a function which allows you to create bins for locations in bulk.

This function is the Bin Creation Worksheet; however, before you can use this function you first need to create the worksheet and bin templates.

To do this, search for Bin Creation Worksheet Templates. Enter a Name and Description for the template and set the Type to Bin; once you’ve done this, make sure the line is selected and click Related » Template » Names:

When you have a location configured for and with bins added, users must now use the bins whenever they transact against the location.

The configuration I’ve gone through so far with bins, has been basic inventory processing. While there is more advanced bin functionality available, which I will cover in future articles, with the basic bin setup done so far, processing against the bin is very straightforward.

In the example of a purchase order, and it is the same with most other transactions, the only difference to processing without bins, is that when you enter the lines, the user will need to select the bin into which the goods will be placed:

In the previous article of this series, I showed how bins can be made mandatory for a location. In this post, I am going to show how bins can be manually added to a location.

It is worth noting that if you are enabling bins for a location on a new company, or a new location in an existing company, you can make bins mandatory before creating the bins, but if you are enabling bins for a location which is being transacted in, then you may want to add the bins to the location before making them mandatory.

To add bins to a location, open the Location Card, by using Tell me what you want to do and searching for Locations and select the location from the list.

Click the Bins button on the action bar to open the Location » Bins page:

In a previous article, I covered basic inventory with bins and why you might use bins to keep track of where stock is within a warehouse. Whereas locations can be used without locations being mandatory (although I don’t recommend it), bins must be made mandatory before bins can be used.

If you try to process stock into a bin at a site where bins are not mandatory then you will receive an error:

Bins are enabled per location, meaning you can operate bins in some warehouses and not others. For some of the clients I have worked with, this would be useful as they may track stock in bins at the warehouse location, but not at branch or other locations (I’ve worked with more than one client who held stock in vans which were all created as a site).

In the last couple of article, in this series, I took a look at basic inventory and the Shelf No. field which can be used to record, on an information only basis, where items are stored. As stated, the shelf no is notational only and is used when there is no requirement for control or management of where items are in a warehouse or stock room.

This configuration is used only by organisations with very simple stock requirements; for anyone who processes a lot of stock or holds a lot of items for varying lengths of time then a notational shelf number will not be sufficient. Fortunately, Business Central has functionality for the management of items in bins, which are smaller locations within the warehouse location.

Bins allow for precise inventory tracking and management; items can be linked with one or more specific bins, with one set as the default and can be configured of a certain size or weight bearing capacity. With bins, users can know the exact location of items within the warehouse location, allowing for easy picking.

With more advanced warehousing enabled for a site, bin information is used for directed put-away and picking which helps streamline processes and improve efficiency.

In the last article, I took a look at basic inventory which you can use with or without a location, although I do always recommend using locations to future-proof the system.

That is the most basic of configurations on inventory management in Business Central and is used when you don’t need to be tracking stock to specific locations in a warehouse or stock room.

For those Business Central users who do not need, or want, to use bins for stock location management, there is a field on the Item card where you can record the typical location of items of that type; the field is Self No.:

This is only a notational field on the item card which you can set, but which is not used to control or manage anything; the field is free-form text entry which will accept any combination of letters, numbers and symbols, up to ten characters long.

In the last article, I covered the different levels of inventory available; however, even within the most basic level there can be quite a bit of variation.

At the most basic level of inventory you don’t even need to use locations; I generally advise all clients to use locations and make them mandatory, even if they only have one location. This is because experience over the years has shown that a lot of those clients with one location will progress to having a second or more locations as their business expands and it is much easier to add a second site to a system with locations than introduce locations to a system in which they are enabled.

When you have locations set as mandatory, every transaction that you process will need the location code specified; this can be made easier by applying a default on the vendor and customer cards on the receiving and shipment fasttabs respectively. Which in turn can be made easier by setting a default on the vendor and customer templates.

As mentioned in previous articles, Business Central has functionality for both inventory and warehousing; the difference between the two is, at a very simple level, the level of control required.

The table, below, shows the different configurations available for inventory and warehousing.

As the table shows, bins are only mandatory when using directed put-aways and picks, but from the clients I’ve worked with, bins are commonly used by clients at smaller levels

Over the next few posts of this series, I’m going to take a run through the configuration of the different aspects of inventory and warehousing at different levels, including the additional setup of locations, bins and so on. I have already covered creating a location at the simple level so that I could configure the inventory posting group and inventory posting setup and will build on this.
