When PurchaseHQ is in Requisition Mode users can enter new requisition via the portal. This gives them access to simpler, cleaner windows than the standard Microsoft Dynamics GP windows which are accessible from any form-factor device from any location.

To enter a purchase requisition, click on the Document Entry tile on the home page (if any requisitions are in progress this will be shown below the tile title):

PurchaseHQ has two types of user:

1. Approval user who can approve pending approvals in Workflow.
2. Transaction user who would raise requisitions, or orders depending on configuration, and receive goods.

No setup is required for approval users; any user who is a Workflow Manager or an approver can og onto the portal using their Windows User and manage their approvals.

A transactional user needs to be cretaed in Microsoft Dynamics GP; this proves that they been granted the required level of approval to take this action.

As with creating a normal Microsoft Dynamics GP user who will access the traditional desktop or web client, this is a three stage process (you can shortcut this usng the copy security function.

The first stage is to create the user which you do the same as normal in User Setup (Adminstration area page » Setup » System » User), but then must assign their Windows Account to the Dynamics GP User:

There are three images which can be used by PurchaseHQ. they are:

1. Background Image which is used for the background of PurchaseHQ as an overlay to the default blue background.
2. Company Logo which is displayed in the top left corner by the company name.
3. Favicon Icon which is displayed by the browser as the sites icon on the tab.

To setup the images, open the PurchasingPortal Setup window (Administration area page » Setup » System » PuchaseHQ » PurchaseHQ System Setup) select the ,em>Go To menu and click Setup Images:

One of the key principles behind the development of PurchaseHQ was that it be secure and, unlike the Web Services for Microsoft Dynamics GP, it uses a version of the TLS standard which is not being retired in 2020.

PurchaseHQ has four components:

1. The Portal itself, which is hosted on Microsoft Azure, providing a robust, scalable platform for users to access and which is protected with an SSL certificate.
2. The Azure Relay which handles communication from the Connector Service to and from the Portal.
3. The Connector Service which is installed on a server in your domain and which initiates and handles communication to and from the SQL Server to the Portal.
4. The Client Components which are installed on the Microsoft Dynamics GP clients and allow users to configure PurchaseHQ and maintain which users have access to log onto the portal.

No data is held on the Portal on Azure and no communication channels are initiated by the Portal; instead all data is held in databases on the SQL Server with all communication initiated by the Connector Service outbound, meaning that no ports need to be opened on the firewall for PurchaseHQ t be used. This is an advantage of PurchaseHQ over the email actions available with the standard Web Services approvals which require a port (48620 by default) to be opened for inward bound communications.
