As part of explaining default dimensions and priorities there is another piece of functionality which should be covered and that is dimension restrictions, especially as the restrictions are configured within the Default Dimensions window.

I recently did a post where I explained what default dimensions and priorities were; I’m going to break down the explanation on how to configure them into two separate posts, because, despite being very closely linked, they are maintained in different pages.

In this post I will cover the first part of the configuration, which is the default dimensions. The same page which allows you to configure defaults, also allows you to configure restrictions, but I will only look at the defaults in this post and will cover the restrictions in another post.

You can define default dimensions on any of the card records which are used to generate transactions. This would include, although not limited to, G/L accounts, customers, vendors and items. In this post, I will be showing how to set default dimensions via a vendor, but all of the pages work in the same way.

Entering a default dimension is as simple as selecting the Dimension Code[/] and then either entering or selecting the Dimension Value Code.

In recent posts of this series, I took a look at dimensions, and how global and shortcut dimensions are maintained and used. There is additional functionality wich make dimensions easier to use and which can hugely reduce the amount of effort required to add them to transactions.

The first two of these pieces of additional functionality are default dimensions and dimension priorities. I thought I’d explain these in the same post as they are very closely related.

Default dimensions allow you to specify dimensions and dimension values which are automatically applied to transactions lines as the line is being entered. These defaults can then be amended if needed, but they will be added and no effort is required if the default values are correct.

As dimensions can be assigned to G/L accounts, vendors, customers and other records in Dynamics BC, there is a choice available as to which of these should provide the default dimension during transaction entry. This is where the dimension priority comes in; you can specify in Dynamics BC the order in which the locations with default dimensions are specified are read, which will determine how the defaults are populated.

There is setup needed for both of these, which I’ll cover in the upcoming articles, but getting the defaults and priorities set up correctly can save a substantial amount of time and effort.

I posted an article a while ago on the update rollout timeline of Dynamics BC which applies to the cloud version. There is also a lifecycle policy which applies to on-premise version of Dynamics GP.

The page on the Modern Policy shows the lifecycle of on-premise installations of Dynamics BC; the short version, is that every version of Dynamics BC is supported for 18 months from the release date.

These 18 months period of support allow companies using the on-premise version a little more stability in terms of upgrades than the SaaS cloud version. With cloud an upgrade is available every six months and can only be delayed for so long; with on-premise you can remain on a supported version for up to six months.

The next version of on-premise Dynamics BC to come out of support is Release 2021 Wave 2 in April this year.

While I still class myself as early in my learning about Microsoft Dynamics 365 Business Central, I have recently helped a client implement the Fixed Assets module. One of the questions I was asked, and which took me a short time to work out, was if it was possible to set a residual on the asset of 30%; meaning that when an asset is depreciated it will not go below 30% of it’s acquisition cost.

I did some investigating and found that it isn’t possible to set a residual percentage, but if you calculate the residual amount you want, then you can enter this and depreciation will not take the value of the asset below this amount.

The field you need to enter this into is Ending Book Value which is available on the FA Depreciation Books page which accessible through the action bar of the Fixed Asset Card (Fixed Asset Card » Fixed Asset » Depreciation Books):

This field is not visible by default, so you will need to customise the page to make it available.

While Dynamics BC allows you to create as many dimensions and dimension values as needed, there is some additional functions which can make entering transactions along with dimensions easier.

In an earlier article of this series, on understanding the chart of accounts, I commented that Dynamics BC differed from some ERP systems by only having the GL account itself in the chart of accounts where other systems also include cost centres and other elements required for reporting.

Dynamics BC does allow for reporting on these other elements, but manages them through dimensions rather than the chart of accounts itself.

Microsoft themselves describe dimensions as:

Dimensions are values that categorize entries so you can track and analyze them on documents, such as sales orders. Dimensions can, for example, indicate the project or department an entry came from.

So, instead of setting up separate general ledger accounts for each department and project, you can use dimensions as a basis for analysis and avoid having to create a complicated chart of accounts.

There isn’t a single client I have worked with over the last 20 years who does not have a need for dimensions (or similar) as no-one reports only on the G/L account. Other values to be stored in dimensions would commonly be:

• Cost Centre
• Department
• Region

Dimensions can also be used to store non-financial analysis codes such as:

• Project
• Budget Holder

The above are just examples of some of the type of analysis codes I’ve seen in the past working with clients.

Dynamics BC allows financial postings to be filtered based on the GL account and on the dimension values selected against the posting. Over a few posts in this series, I am going to take a look at setting up and maintaining dimensions, setting defaults, combinations and priorities as well as viewing data posted with dimension values assigned to them.

When you have created your G/L Accounts, you can view the created accounts in the Chart of Accounts list.

As you can see from the below, the list of accounts is indented based on the Begin/End-Total rows. This is not something which happens by default, but is the result of running a process to indent the accounts. This same process also calculates the accounts included in the End-Total row so that the end total includes all accounts from the preceding Begin-Total:

Now that we’ve introduced the chart of accounts we can take a look at creating a new G/L account.

There is a few considerations when creating a new account:

1. The No is important as this will control where the account shows in the char of accounts and some of the reports.
2. Expansion space should be allowed in the chart of accounts numbering, to allow for new accounts to be created in the future and have them appear in the correct place.
3. The No does not have to be all numeric, it can be a mix of alpha and numeric characters.

New accounts, regardless of type, are created from the Chart of Account list page by clicking on the New button to open the G/l Account Card window:
