The sixth of the new functionality in the Application section is get more productive while entering time sheets.

Copying time sheets from previous periods can save you time and effort by reducing the need to manually enter data. The process improves productivity and efficiency by allowing you to quickly and easily create time sheets based on data you already have. Additionally, copying time sheets can help to ensure that your data is consistent and accurate by reducing the risk of data entry errors.

Feature Details

Microsoft have made it faster and more efficient to fill out time sheets. You can use the Copy From action on the Time Sheet page to copy information from lines on previous time sheets. You can also copy information from the previous row on your time sheet. For example, when you’re filling out a time sheet where you’ve worked on the same job, you might want to copy the job or job task numbers.

My Opinion

We use time sheets internally and it can be a bit time consuming entering all of the data if you’ve done a number of tasks through the week, so this sounds like it could be very useful.

In the article before last, in this series, I took a look at the Tax/VAT Business Posting Group which can be viewed as the where to the what of the Tax/VAT Product Posting Group which I covered in the last article; in this one I am going to show how these are combined to determine the rate to be applied via the Tax/VAT Posting Setup.

Do a search for and open the Tax/VAT Posting Setup window. The first two columns show the Tax/VAT Business Posting/Tax/VAT Product Posting Group combinations; there needs to be a line for each valid combination of the two. In the example, below, ROW is only present once in the Tax/VAT Business Posting Group with a Tax/VAT Product Posting Group of Exempt as, for UK business dealing with companies outside of the UK, there is no VAT applicable.

Tax/VAT Posting Setup

The UK is present on four rows as there are multiple VAT types which are used in the UK. On each of these rows, the Tax % needs to be supplied.

For all rows in the table, you need to select a Tax/VAT Calculation Type and supply the G/L Account to be used for sales and purchases (you can use the same code in both columns should you want to do so as well as setting up a reverse charge account or whether the rate should be reported as EU services.

The basic setup for standard types of UK VAT is shown in the above example. I ma cover more advanced setup of VAT in the future.

The fifth of the new functionality in the Application section is get more productive while approving time sheets.

The ability to quickly and easily approve multiple time sheets at the same time makes the process more efficient for managers. Reducing the time and effort managers spend on reviewing and approving individual time sheets gives them more time to focus on their core business.

Feature Details

When you submit your time sheet to your approver, you can send a notification to let them know that it’s ready. If you’re the approver, you can do the same for the requestor after you approve or reject their time sheet. Time sheets also support multilevel approvals, and if an approver is unavailable you can specify a substitute for them. The process of approving time sheets is more efficient because approvers can approve and reject multiple time sheets at the same time, rather than one by one.

My Opinion

Microsoft don’t specify how the notifications work, but I can see that it can be useful to have people notified that time sheets are ready for approval, I just worry about swamping users with notifications.

The fourth of the new functionality in the Application section is edit in Excel on item journals and warehouse worksheets.

One reason the Edit in Excel feature in Business Central is so popular is that it provides a fast way to enter data. For example, you can use templates for journals, make quick bulk edits, and so on. Businesses can now use the feature to speed up data entry on item journals and warehouse worksheets.

Feature Details

The Edit in Excel action on item journals and warehouse worksheets lets you change records in Excel and then publish the changes back to Business Central. When Excel opens, you’ll see the Excel Add-in pane on the right.

  • Excel respects most filters on the page, so the Excel workbook will contain almost the same records and columns.
  • To get the latest data from Business Central, choose Refresh on the Excel Add-in pane.
  • If your organization has configured OneDrive for system features, the Excel workbook opens in your browser by using Excel for the web. If you aren’t using OneDrive for system features, the workbook downloads to your device. From there, you can open it using either the Excel desktop app or Excel online, depending on what you have.
