Features of Financial Elementz from ISC Software: Run Manual Payments import

Financial ElementzThis post is part of the Features of Financial Elementz from ISC Software, as well as part of the over-arching GP Elementz from ISC Software series.

With a Manual Payment Import Definition created, we can now use it to import data into Microsoft Dynamics GP.

The file can include multiple payments, one per row, for different payment types and creditors. The example I am using has a cheque/check payment to one creditor and a cash payment to a second. The Payment Type is one of the following numeric identifiers:

  1. Cheques/Checks
  2. Cash
  3. Credit Card (Card name is a mandatory field for this payment type)
  4. EFT

Save and close the prepared Excel spreadsheet:

Features of Financial Elementz from ISC Software: Create Manual Payments import

Financial ElementzThis post is part of the Features of Financial Elementz from ISC Software, as well as part of the over-arching GP Elementz from ISC Software series.

As well as the Payables Transaction Import covered over the last couple of posts in this series, Financial Elementz includes a Manual Payments Import with which you can import payments from other systems into Microsoft Dynamics GP. The source file is an Excel spreadsheet and the import definition window allows you to create multiple definitions for importing payment files.

The Payment type column is a numeric identifier from one of the below four payment types (as supported in the Manual Payment Entry window):

  1. Cheques/Checks
  2. Cash
  3. Credit Card (Card name is a mandatory field for this payment type)
  4. EFT

I am going to create an import definition for the below example file:

Features of Financial Elementz from ISC Software: Run Payables Transaction import

Financial ElementzThis post is part of the Features of Financial Elementz from ISC Software, as well as part of the over-arching GP Elementz from ISC Software series.

With the Payables Transaction Import definition created, we can now use it to import some transactions. I have the template populated with two lines, both of which are for the same invoice.

The import will group together header fields which are the same so that the tax and distributions are included on the same transaction. In this case, I have two sets of tax and two distributions going to different accounts. The integration will create me a single tax entry as the Tax Details are the same and two separate PURCH distribution rows.

The Doc Type field should be set to one of the following numeric identifiers:

  1. Invoice
  2. Finance Charge
  3. Misc. Charge
  4. Return
  5. Credit Memo

Features of Financial Elementz from ISC Software: Create Payables Transaction import

Financial Elementz includes a Payables Transaction import which can be used to load the following transaction types into Payables Management:

  1. Invoice
  2. Finance Charge
  3. Misc. Charge
  4. Return
  5. Credit Memo

The import uses an Excel spreadsheet as the data source, which the user can select at runtime, but the format of the file needs to be defined in advance; the import supports the creation of multiple import definitions so that, if required, each supplier providing invoices electronically could do so including different columns and in a different order.

The format I will use is shown below:

Features of Financial Elementz from ISC Software: Run General Ledger import

One a General Ledger Import Definition has been created, it is a simple process to run it whenever needed to import a journal, or journals, from a Microsoft Excel spreadsheet.

The spreadsheet can contain a single journal or multiple journals; the import will group the header fields together in the same way as Integration Manager or SmartConnect.

The example I am using here is a simple two line journal, but the file could equally contain several hundred lines split between different journals:
